Registering for Pennsic War 36

The deadline for on-line registration is June 15, 2007 and mail-in registration is May 15, 2007. Basically, the purpose of pre-reg is not to assure you'll get in to Pennsic; it is to help your group get its necessary land allocation. Thus it is important to keep these things in mind:

  1. Pre-registration is available on-line thru Coopers Lake webpage, and payable via PayPal. Check here for links

  2. On the form under Group Camping With it is important that you write, to the letter, exactly what your group has decided to be named. Same spelling, same word order, etc.

  3. Send your registration (not postmarked, but received) by May 15th

  4. Don't include a Self-Addressed-Stamped Envelope. A confirmation letter will be sent to you.

  5. The adult pre-reg fee is $100.00. It can be paid by check or credit card. On-line registrations are via PayPal and can be paid by a major credit card via PayPal.

Here are a few helpful items to help you get through registration quicker

Have the following items in hand when entering check-in:
  • Positive ID with photo and birth date E.g.: Photo drivers license, Military ID, Passport
  • Registration confirmation
  • Proof of membership if applicable
  • Car license number if you are responsible for a vehicle
  • Trailer license number if youare responsible for a trailer
  • Enough money for any additional gate fees (Fees listed below)
At-the-gate payment can be made using Cash, Visa, MasterCard or Money Order (Alexander's Note: although there is an ATM on-site, it is not accessible to you when you first check-in. Plan to have cash before you arrive on-site!)
There is sometimes a long line (up to 3 hrs) for check-in on peak days; the overflow is held in queue on the battlefield. You can avoid waiting in the long queues by arriving Monday through Thursday.

Gate Fees

The fees shown are what each person pays upon arrival. The Pre-registered chart accounts for the $100 deposit (adults) and a $10 pre-reg discount (adults only). No pre-reg discounts apply to minors or infants.

Important items to be aware of

  • Minors (age 17 or under) without parents or court appointed legal guardians will not be admitted
  • Pets are not allowed
  • Personal checks are not accepted at check-in
  • Coins totaling over $20 are not accepted at check-in
  • Once you leave check-in there are no refunds
  • Pre-registrations are not transferable
  • Persons not checked-in by 11:59 PM Friday August 10th, 2007 will not be admitted
  • All personal property must be removed from site by 3:00 PM Sunday August 12th, 2007
  • If you are merchanting, your merchant fees are independent of the site fees. All merchants must pay site fees upon arrival.

Pre-registration Refund Policy

Send a letter to the registration office requesting a refund. On the outside of the envelope have 'Attention Refund' clearly visible. The letter must be received (not postmarked) prior to June 1, 2006 for a full refund. It must be received between June 1 & July 20 for a partial refund ($10 handling fee per person). After July 20 there are NO REFUNDS. Check the Cooper's Lake registration office website for details on refunds and how to request them.

A Message from Information Point

Important information all Pennsic-goers should know! Submitted by Elaina of Oaklawn.

The ability to take personal messages for individuals at Pennsic is severely limited. Please remind your family, friends, or employer that there is only one incoming line for messages in the campground. In order to get a message through to you, we will need the real, modern name of the person the message is for, their SCA name, the Land registration-official name of the group you are camping with, and the block they are camped in. BRIEF, EMERGENCY MESSAGES ONLY will be relayed as quickly as possible to encampments. If you are expecting a call for any other reason, please check Information point on a daily basis to see if there is a message for you or anyone in your camp.

Abuse? What abuse?

Sadly, wherever there is bureaucracy on a large scale, there is abuse. With regards to registration, many groups who attend Pennsic abuse the pre-registration system by registering fictitious people (or people who have no intention of attending War) in order to get extra land. Even though the refund policy has been changed recently in an attempt to discourage the practice, I think the abuse will still be widespread.

The most common way has been to register a fictitious minor or infant at a fixed cost of $5 or $20. They are allocated as much land (or used to be) as an adult so the cost for a little extra acreage is nominal. Some people (according to messages on the Rialto) think this practice is perfectly acceptable, and even factor in the extra expense as part of their budget, not even bothering with the refunds.

Honesty, it seems, is defined by convenience.
